What you'll accomplish
By the end of this guide, you'll have a Claude Project loaded with your actual proposal templates, scope formats, and examples from past jobs — so the AI produces output that matches your established style instantly, every time.
What you'll need
Go to claude.ai. If you're on the free tier, click your profile icon → Upgrade to Claude Pro → enter payment. Pro gives you significantly higher usage limits and full access to the Projects feature with file uploads.
What you should see: After upgrading, a Projects option appears in the left sidebar.
Troubleshooting: If Projects doesn't appear immediately, refresh the page after upgrading.
Click Projects in the left sidebar → New Project. Name it: "[Company Name] — Estimating & Communication."
What you should see: A Project workspace with two areas: a Files section (left or top) and a chat interface.
Look for Project Instructions or a settings gear near the Project name. These instructions apply to every conversation in this Project. Write:
You are the estimating and communication assistant for [Company Name],
a residential remodeling company in [City, State].
You have access to sample proposals and scopes I've uploaded. Match my style —
professional and direct — when generating new documents.

- Warranty: [Your standard warranty, e.g., "1-year workmanship warranty"]
Common tasks:
1. Write scope of work (trade-by-trade, include exclusions)
2. Write proposal letter (match the style of my uploaded samples)
3. Write change order (formal, with signature line)
4. Write client update email (brief, friendly, under 150 words)
5. Write follow-up emails for outstanding proposals
6. Write subcontractor messages
For ALL documents: produce the final document ready to copy-paste.
No commentary, no "here's a draft" notes — just the document.
In the Project, look for Add content or a + button in the Files area. Upload:
Proposal sample: Open one of your best past proposals → select all text → copy → paste into a .txt file and save it. Upload that. (Or upload the Word/PDF directly if supported.)
Scope of work sample: Same process with a scope you're proud of.
Standard email: Copy in a client update email you've sent that hit the right tone.
Claude will reference these as style guides when generating new documents.
What you should see: Files appear in the Project's knowledge area. Claude will reference them in conversations.
Start a new conversation within the Project. Type:
Write a scope of work for a 10x12 bathroom remodel. Scope: demo all existing tile,
install cement board and 12x24 tile (floor and tub surround), replace vanity with
48" double vanity (client-supplied), replace toilet, replace all plumbing fixtures,
paint walls and ceiling, pull permits. Match the style of my uploaded scope sample.
What you should see: A scope of work that closely matches your uploaded sample — same structure, similar language, same level of detail.
Troubleshooting: If Claude doesn't reference your sample, ask: "Look at the scope of work sample I uploaded and write this in the same format."
Now request the full proposal package:
Using the same project details (10x12 bathroom remodel), write a proposal letter
to Mr. and Mrs. Johnson. Total price: $16,500. Timeline: 3 weeks.
Match the tone of my uploaded proposal sample. Include my company info from the instructions.
Compare the output to your uploaded sample. Adjust your Project Instructions if anything feels off.
Full proposal package from site notes:
Organize these site visit notes into a scope of work, then write a proposal letter.

Match a previous document:
Write a scope for [project type] in the same format as my uploaded sample.

Compare two scopes:
Compare these two scopes I've written for similar projects and tell me what's
inconsistent or missing from the newer one: [paste both].
