What you'll accomplish
By the end of this guide, you'll have a ChatGPT Project configured specifically for your remodeling business — so every conversation starts with it already knowing your company name, your market, your typical project types, and your writing style. No more re-explaining yourself every time.
What you'll need
Go to chat.openai.com. If you don't have an account, click Sign up and create one. Once logged in, click your name in the bottom-left → Upgrade to Plus → enter your payment info. You'll have immediate access.
What you should see: The interface looks the same, but you'll see "GPT-4o" in the model selector at the top, and the left sidebar shows a Projects section.
Troubleshooting: If you don't see the Projects section, try refreshing the page or logging out and back in.
In the left sidebar, look for Projects and click the + icon or New Project. Name it something like "My Remodeling Business" or your actual company name.
What you should see: A new Project opens with a chat interface — but this one remembers everything you tell it within this context.
Before you type anything else, click the gear/settings icon inside the Project (usually top-right or accessible from the Project name). Look for Instructions or Customize Project.
Paste in the following — filling in the brackets with your real information:
You are an assistant for [Company Name], a residential remodeling company in [City, State].
About our business:
- We specialize in: [kitchen remodels, bathroom renovations, additions — list your main services]
- Typical project size: [$X,000 to $Y,000]
- Our clients: homeowners in [describe your market — upscale, middle-class, etc.]

Writing style:
- Client-facing documents should be professional but warm — like a trusted local expert
- Subcontractor messages should be brief and direct
- Avoid corporate jargon
Common documents you help me create:
- Scopes of work (detailed, trade-by-trade)
- Client proposal letters (professional, value-focused)
- Weekly project update emails (brief, clear)
- Change order documents (formal, with signature lines)
- Follow-up emails for outstanding proposals
- Responses to Google reviews
- Messages to subcontractors
Click Save.
What you should see: The Project now shows your company name in the context.
Troubleshooting: If you can't find a settings or customize button, type your setup text in the very first message of the Project chat — it will still remember it for future messages within this Project.
Type your first request:
"Write a scope of work for a 9x11 bathroom remodel. Scope: demo existing tile, install cement board, new 12x24 tile floor and tub surround, replace vanity and toilet with client-supplied fixtures, paint walls."
What you should see: A complete, professional scope of work — without you having to mention what kind of company you are. The AI already knows.
Inside the Project, look for a Files or Attach option. Upload:
When you upload these, you can ask ChatGPT: "Write a proposal in the same style as the document I uploaded." The output will match your existing format.
What you should see: Files appear in the Project sidebar; the AI references them when asked.
For any project scope:
Write a scope of work for a [project type]. Scope includes: [brief description of work].
Format by trade section.
For any proposal:
Write a proposal letter for a $[amount] [project type]. Timeline: [X weeks].
Key features to highlight: [1-2 selling points]. Homeowner name: [name if known].
For a change order:
Write a change order. Original scope: [original work]. Change: [what changed].
Additional cost: $[amount]. Time impact: [X days or none]. Include signature line.
For a project update:
Write a Friday project update email. Completed this week: [list]. Starting next week: [list].
Any issues: [describe or say "none"].
For review response:
Write a professional response to this Google review: "[paste review]".
If negative: acknowledge, apologize, invite direct contact. If positive: warm thank-you.
